The calculator uses these numbers. All ranges based on real gallery telemetry from thousands of events — with the caveat that any specific event can wildly beat or miss these averages.

- Wedding: Peak upload window is the first hour of the reception + the dance floor after 10pm.
- Birthday: Younger crowds skew higher on video. Kids birthdays skew lower overall (parents filming instead).
- Party: Depends heavily on venue lighting and whether alcohol is served.
- Baby shower: One of the highest photo-per-guest rates. Guests love posed shots with the parents-to-be.
- Corporate: Low participation is normal. Consider requesting phone-free zones and letting a photographer handle it.
- Graduation: Cap-and-gown ceremony is heavy on posed group shots; after-party doubles the video rate.
Assumptions we use
- Average photo size: 3.5 MB (modern smartphone JPEG). Older phones can go lower; iPhone 15 Pro ProRAW can hit 25 MB.
- Average video size: 30 MB per short clip (15–30 seconds, phone camera default). 4K video at 60fps is much larger.
- Video prevalence: 10–20% of uploaders also upload short videos, and each uploads roughly 1 short clip per hour on average.
- Participation: defaults are typical when the QR is prominently displayed. Reduce for corporate or private events; increase for young, tech-friendly crowds.

How many photos do wedding guests actually upload?▾
About 30% of wedding guests actively upload photos to a shared gallery, and each active uploader averages 3–5 photos per hour of the reception. For a 6-hour, 120-guest wedding, that's roughly 650–1,100 photos. Corporate events run much lower — closer to 10% participation and ~1 photo per active guest per hour.
How much storage do event photos take?▾
Modern smartphone JPEGs average 3–5 MB per photo, and short videos (15–30 seconds) run 20–40 MB each. A typical wedding with 800 photos and 60 short videos comes in around 4–5 GB of storage.
What percentage of guests will actually use the QR gallery?▾
It depends on how prominent the QR is. If it's on every table + the entrance sign + a mention during the welcome speech: 30–40% participation is typical. If it's only on the invitation: 5–15%. Slideshow displays at the venue lift participation significantly — guests want their photo to show up on screen.
Do I need to pay for a gallery if my event is small?▾
For very small events (10–30 people) the free tier (20 photos) may be enough. But if your guests are on average uploading 2+ photos each, expect to hit the free cap fast. Unlock ($9) covers up to 200 photos and paid events don't expire — a safer default for anything wedding-adjacent.
